Projects and Construction: AP Document Recognition for Projects in 2025 R1
In previous versions of Acumatica ERP Construction Edition, the AP document recognition functionality did not support project-related AP documents. As a result, project accountants had to manually enter AP bills and subcontract-related invoices, making the process time-consuming and prone to errors.
With the release of Acumatica ERP Construction Edition 2025 R1, AP document recognition has been enhanced to automate the defaulting of project-related information and recognize subcontract numbers in document lines. These improvements simplify the management of AP bills for construction projects, improving efficiency and accuracy in tracking project expenses.
New Recognition Feature
A new feature, Recognition of Project-Related Documents, has been introduced in the Experimental Features section of the Enable/Disable Features (CS100000) form. This feature requires the AP Document Recognition Service to be enabled.
Once activated, users can now perform the following actions in the Incoming Documents (AP301100) form:
• Assign Project Data to Unlinked Bills
○ Users can manually populate the project budget key (project, project task, and cost code) in the lines of recognized AP documents if they are not linked to commitments.
• Recognize and Link Purchase Orders
○ For bills linked to purchase orders with or without receipts, the system now automatically recognizes purchase order numbers, links them to AP document lines, and populates the project budget key based on the corresponding PO.
○ If no exact match is found, users can manually link AP document lines to purchase orders.
• Recognize and Link Subcontracts
○ The system now identifies subcontract numbers in AP bill lines and automatically links them to AP document lines, inserting the appropriate project budget key based on the subcontract.
○ Users can also manually link AP document lines to subcontracts if needed.
Improved Efficiency in AP Processing
With these enhancements, Acumatica ERP Construction Edition 2025 R1 significantly reduces manual data entry for project-related AP bills, improves accuracy, and streamlines expense tracking for construction projects.
